The B2B lead leak: why enquiries go cold, and the 48-hour fix

Before you spend more on ads, look at what happens after someone enquires. Most lost deals leak out in the first two days. Here's how to close the gap.

When marketing doesn't bring in business, the usual answer is to spend more on it. But in most growing companies we look at, the biggest leak isn't at the top of the funnel. It's in the first 48 hours after someone enquires.

An enquiry is a moment of intent. It cools quickly.

Where enquiries go cold

They arrive in too many places. A form here, a call there, a WhatsApp message to someone's personal phone, an email to a shared inbox. Some are never seen.

Nobody owns them. When an enquiry belongs to everyone, it belongs to no one. Each person assumes someone else replied.

The first reply is slow. By the time someone calls back, the buyer has spoken to two competitors, or moved on.

The follow-up stops after one try. Busy buyers miss calls. One attempt is not a follow-up.

Nobody knows what's working. Without tracking where enquiries come from, you can't tell which channel deserves more budget.

The 48-hour fix

You don't need expensive software to start. You need five habits.

1. One place for every enquiry

Every form, call and message goes into a single list, with the date, the source and what they asked for. If it isn't in the list, it doesn't exist.

2. One owner for each

Assign every enquiry to a named person the moment it arrives. Their job: make contact and move it forward.

3. Reply the same working day

Set a simple rule: every enquiry gets a human reply on the day it arrives. Not an auto-response, a real person with a useful next step.

4. Follow up more than once

Plan at least three touches over a week, across call, email and message. Make each one useful: a relevant example, an answer to their question, a clear next step.

5. Record the source and the outcome

For every enquiry, note where it came from and what happened. Within a couple of months you'll know which channels bring buyers, not just clicks.

What to measure every week

  • Enquiries received, by source.
  • Time to first reply.
  • Enquiries that became a conversation.
  • Conversations that became a proposal, and a deal.

Four numbers, reviewed every week, will tell you more than any dashboard.

The takeaway

Before you invest in more attention, make sure you're catching the attention you already have. Fix the first 48 hours, and the same marketing budget turns into more conversations, more proposals and more clients.
